What a missed call costs a roofing company

Nobody misses calls on purpose. You miss them because you were on a roof, or driving, or with a customer, and the phone rang anyway. This guide puts a number on it, shows the arithmetic so you can plug in your own figures, and looks at what actually changes the answer rate.

Three numbers you already have

Open your phone’s call log for the last full week and count three things: calls received, calls you answered, and voicemails left. Most owner-operated roofing companies that do this for the first time find they answer somewhere between a third and two thirds of calls, and that fewer than one in five of the missed ones left a message. The busiest weeks are the worst, and the busiest weeks are storm weeks.

What the caller does next

A homeowner searching for a roofer has a list open. When the first number goes to voicemail, the common behaviour is to hang up and dial the second. For an active leak it is nearly universal. The call you missed isn’t delayed; it is usually gone, and it went to a competitor whose only advantage was picking up.

The arithmetic

Work from the job backwards. Fill in your own figures; the example uses round numbers a residential replacement company might recognise.

Average job value$12,000
Close rate from inspection40%
Calls that become an inspection50%
Expected value of one answered call$12,000 × 0.40 × 0.50 = $2,400
Inbound calls per week20
Answer rate today55%
Missed calls per week9
Missed callers who would have converted like the restsay half: 4.5
Expected revenue missed per week4.5 × $2,400 ≈ $10,800
Per month≈ $43,000 in expected revenue, before costs

These are expected values, not cash. Cut every assumption in half and the number is still larger than anything on the cost side of this page. That is the whole argument: the answer rate is the cheapest lever in the business.

What moves the answer rate

  • A person in the office

The best outcome and the most expensive. Works in office hours; the storm calls at 7pm on Saturday still go to voicemail.

  • An answering service

Answers around the clock, takes a message, knows nothing about roofing, bills by the minute. Better than voicemail, and the message you get is whatever the operator typed.

  • Forwarding to your mobile

Free, and it's how most owners run it. It's also why you're missing calls: you can't answer on a roof.

  • An AI front desk

Answers every call in a natural voice, gets the name, a verified address and the problem, sends emergencies to your mobile, and texts you the lead. A fixed monthly cost with capped minutes.

The catch with answering everything

Answer rate only pays if what you capture is real. A message that says “Steel, Wheatland, storm damage” is a callback into the void. The lead needs the name confirmed, the address verified against a map and your service area, the problem described, and the number they actually want to be called on. That is the difference between a front desk and a recorder, and it is what our AI Front Desk was built to do.

Questions roofers ask

What percentage of calls do small contractors miss?

Industry studies of small service businesses consistently find somewhere between a quarter and two thirds of inbound calls go unanswered, with the worst numbers after hours and during the busiest season, which for roofing is exactly when the storm calls come in. Your own number is in your phone's call log: count the missed calls for a week.

Do callers leave a voicemail?

Most don't. The commonly cited figure is that around four in five callers who reach a business voicemail hang up without leaving a message, and a large share of them call the next company on the list instead. For an emergency like an active leak, nearly all of them do.

What is a roofing lead worth?

Take your average job value, multiply by your close rate from inspection, then by the share of calls that become inspections. For a $12,000 replacement, a 40 percent close rate and half of calls becoming inspections, a single answered call is worth about $2,400 in expected revenue before costs. Use your own figures; the shape of the math is what matters.
